Position reports to Behavioral Health Program Manager

St. Luke’s Hospital Criteria Based Performance Standards, Hospital Policies, The Joint Commission regulations, and various other laws/regulations require that we assess the ongoing competency of our staff to assure that the staff maintains competency to perform their duties proficiently. Competency evaluation may include tests for knowledge, demonstration of skills and direct observation of performance.

Description:
Responsible for checking patients in and out. Creating follow-up appointments in the Appointment scheduler and EMR system. Also schedules appointments thru phone, fax, and walk-in request. Verifies all new patient demographics and insurance. Knowledgeable of contracted insurance plans and procedures. Updates patients EMR records by scanning necessary records into the EMR system. Any day-to-day activities required to maintain the front reception area.

Essential Functions:
Checks in and out all patient both in EMR and Billing system. Schedules any return visits and prints both a visit summary and education information ordered. Also schedules new, established patient either by phone, or walk-in.

New patient demographics, insurance and system required information is verified, entered, and scanned into the Billing system as well as the EMR system. Established patient demographics are verified and updated when needed or at a minimum of every 6 months. All insurance cards are scanned or verified in hot keys and EMR system. Coverage is verbally verified at each visit. Making corrections and updates to patient’s demographic and insurance when needed.

Maintains all monies received daily. Run appropriate reports, reconcile the deposit reconciliation form, and complete bank deposit. Patient payments, co-payments and outstanding balances are collected for services rendered. Self-pay patients are given an option for a discount on that day’s visit. Receipts are written for the self-pay clients giving them a copy of the appropriate paperwork and discount information.

Knowledgeable of contracted insurance plans and procedures.

Maintain all received paper records and scan into the EMR system. Charts, electronic and paper, are updated and maintained as required by the practice. To serve as a backup for the Medical Records teammate when needed.

Copy, bill, and distribute Medical Records request. Keeping a follow up log for medical records request. Controlled Substance prescriptions are kept in the front office and Long Term Controlled Substance Policy and Patient contract paperwork is maintained per office policy.

Telephone is answered as calls come in and directed to the appropriate extensions. Every effort is made for calls not to go the voice mail system. Telephone answering machine is checked on arrival in AM and at intervals throughout the day. Messages are handled appropriately. Answering machine is kept updated.

Required Knowledge, Skills, and Abilities:
1. High school graduate or equivalent. A healthcare background is preferred.
2. Must have current certification as a Medical Assistant.
3. Excellent communications and organizational skills.
4. Must have the ability to handle difficult patients and situations in a professional manner.
5. Must be flexible in handling new and changing policies and procedures.
6. Must read, speak, and write English well and have basic computer (keyboard) knowledge.
7. Spanish language encouraged but not required.
8. Operating knowledge of the following equipment: Copier, fax, printer, scanner, computer keyboard and mouse, multi-line phone, and necessary family care equipment and monitors.
9. Must demonstrate the ability to perform blood withdrawal procedures on Pediatrics, toddlers, adolescents, adults, and geriatric patients in accordance with policy and procedures in effect.
